Privacy & Client Policy.

Please read, understand and agree to this information before your first session. Questions are welcome — raise them with your psychologist any time.

Our commitment to ethical practice

Kintsugi Wellbeing Psychology operates in accordance with the Australian Psychological Society (APS) Code of Ethics, built on three core principles: respect for the rights and dignity of people and peoples; propriety (acting for the benefit of clients and doing no harm); and integrity in all professional relationships. We also adhere to the Psychology Board of Australia's Code of Conduct. As registered psychologists, we are committed to upholding these principles in all aspects of our practice.

Confidentiality and its limits

Your privacy is crucial. What you discuss in therapy remains private and is not shared without your permission. Occasionally, your psychologist may discuss de-identified details of your situation with an experienced psychological supervisor, to ensure your care proceeds in an evidence-based and ethical manner — for your benefit.

There are important exceptions where your psychologist may need to break confidentiality: if they believe there is a risk of serious harm to you or someone else, or if a court issues a subpoena requiring information. As mandatory reporters in New South Wales, psychologists also have legal reporting obligations designed to protect your safety and the safety of others. Your psychologist will always discuss these situations with you first where possible.

Use of technology in sessions

To provide the best possible care, we may use: a laptop to take notes during sessions; secure digital tools (Coviu) or paper records to record important information; and AI-assisted note-taking tools (NovoNote). Any technology used complies with the Australian Privacy Principles and professional standards, and all information is securely stored with encryption. We remain responsible for all aspects of your care regardless of the technology used. Please let your psychologist know of any context relevant to our record-keeping and we will endeavour to take it into account.

Secure storage of your information

Your personal information is stored securely per the APS Code of Ethics and Australian privacy laws. This includes password-protected electronic records, secure cloud storage with encryption, access limited to authorised personnel only, and secure disposal of information when no longer required.

Payment

Payment is required at the time of each session. We accept EFTPOS, credit cards and direct bank transfers. Medicare rebates can be processed after your session where applicable. Fees are reviewed annually and we will take reasonable steps to notify you in advance of any changes.

Cancellation and no-show policy

We understand circumstances sometimes prevent you from attending. Our policy: please provide at least 48 hours' notice to cancel or reschedule. Cancellations with less than 48 hours' notice incur a 50% fee; less than 24 hours' notice, or a no-show, incurs the full session fee. Weekends and public holidays are not counted in the notice period. You can cancel by phone, text message or email.

This policy exists because your appointment time is reserved specifically for you, and with adequate notice it can be offered to other clients waiting for an appointment. In truly exceptional cases, the Principal Psychologist may modify these conditions on a single occasion for each client. We have a legal and ethical obligation to sustain a viable practice for our community, and healthy boundaries on fees support that obligation.
